How to Send 3D Dental Studies Over Email

Many email servers refuse to accept email attachments over a certain size. While attachment sizes have not kept up with the times, there are other easy ways to send someone large files over email.

This is an important detail to keep in mind when submitting 3D computed tomography scans (Cone Beams) and other frequently used studies in oral surgery and oral implantology. They are heavy files, typically 140-350 MB, after being compressed with a file compression software.

Even if you are using a modern, online email client, message size is limited. Gmail, for example, allows messages to be up to 25 MB, including the message’s text and any attachments. Outlook.com allows only 10 MB.

When sending messages over these services, they will automatically give you a helping hand and suggest alternatives; such as using Google Drive for Gmail attachments and OneDrive for Outlook.com. That is handy, of course, but if you are using a desktop email client or another service, you may need to know about these tricks yourself, just in case!

If You Want to Do It Yourself… 

It is actually quite simple and all you will need is a PC or laptop to process the supplied CD or pen drive and a little patience to use new tools.

There are basically 2 ways to do it: using a cloud storage service or using a large file submission service. The most important thing is that, regardless of the type of tool you use, be sure to include all the files and folders that the study contains, since many times with just missing one, it is impossible to use it.

Another essential task is to compress the file before uploading it to the cloud or to the selected program. If you do not, the download and upload times could be hours or the execution of the processes could fail. WinZip and WinRar are usually the most universal, free and easily downloadable data compression software just by doing a simple Google search.

Use a Cloud Storage Service

By far, your simplest option is to store the files on a cloud storage service like Dropbox, Google Drive, or OneDrive. Then you can share the file by email through a link that will allow us to download it directly to our computer.

If you use Gmail or Outlook.com, you will find that Google and Microsoft have integrated Google Drive and OneDrive into their respective email services. Just click the Google Drive or SkyDrive button when sending an email and you will be able to share a file via email. Gmail and Outlook will walk you through choosing a file that already exists in your cloud storage drive or uploading a new file. 

If you use something like Dropbox, you can share the file from the cloud storage service’s website. For example, right-click a file on Dropbox’s website and select share link if you use Dropbox. If you have the Dropbox app installed on your computer, you can also right-click any file in your Dropbox folder and you will see a “Share” command there, as well.

Use a Large-File Sending Service

To help answer the large attachment problems, a number of file-sending services have sprung up online over the years. These services let you upload a file, and then give you a link to your upload. You can then paste that link into an email and the recipient can click the link and download the file.

The selection of the appropriate program will depend on what it is offering in its free version (we think that it is not worth spending money only for this) and the size of the radiological file provided (highly variable, depending on the software used).

Always remember to compress the file first!

GSplit

GSplit is a free reliable file splitter program for Windows that lets you split your large files (bigger than 4 GB), such as self-extracting archives, Zip archives, disk images, photos, music, video, and backup files, into a set of smaller files called pieces. 

These pieces are easier to send by email (forget attached file size restrictions imposed by some ISP, pop3, SMTP and other email servers) and upload to host accounts, file delivery services, and online file hosting sites that have restrictions on file sizes, and share with friends, colleagues or other users through networks and the internet.

JUMBOmail

With JUMBOmail it only takes a few clicks to send your photos, videos, music, documents or any type of large file up to 20 GB. Just select the files or folder you want to share. You can also personalize each delivery and leverage each file transfer to promote your brand by adding your photo and custom logo, as well as a link to your website, Facebook page, Instagram page, or others.

WeTransfer 

WeTransfer is a free platform for transferring large digital files up to 2 GB per transfer. They can transfer any type of file, such as presentations, photos, videos, music, documents and more. There is no registration and the files are available for two weeks.

They are supported by advertisements displayed as wallpaper on the WeTransfer site. 

Terashare

If we want to send really large files, Terashare may be one of the most favorable options since it does not limit the maximum size of the file or folder. Thus, for free we can send files of the size we want and even being able to provide the download link before the content is uploaded, although to obtain it we will have to wait for the upload to complete (and if the file is large it can be very slow).

It requires us to download an application, which is simple to use and allows us to upload a file or folder directly from the context menu by clicking the right button. If it is less than 10 GB, it will be stored in the cloud and if it is greater, it will be sent by P2P. It uses an RC4 cipher.

Files to Friends

Files to Friends is a very simple website that allows you to send up to 2 GB to friends and family in three steps, without the need to register.
